Treat your time like legos - Timeblocking

Chapter I: Introduction to Time Blocking

Everyone loves Legos!

They are fun and can be used to build beautiful things. But only if you fit them together properly. If you grab a fist of legos and throw them on the floor, you won’t really get much. So why treat your time like that.

Knowing what to build

If I give you a finite set of Lego blocks, there is an incredible amount of things you can build, but you must think about what you want to achieve, what you will do first and how you will complete it. Building anything else is no different.

Everyone focuses on setting goals and they are right, setting goals is important! But what you do after is just as important. You need to have a plan of how to achieve that goal.

Just like with legos, if you are building a castle, it makes sense to start at the foundation and you need to know which pieces you have at your disposal. Likewise, to effectively build *insert anything* you need to know how much time things take and in what order to do them.

Time as blocks

Time blocking is a time management technique where you assign specific blocks of time to specific tasks or activities. So for instance, if you need to reply to emails and you predict this will take you an hour, you define one hour as an emailing time block. Repeat for other activities.

You then take those time blocks and build a castle… or schedule. With blocks defined, you can now put them together efficiently and in a way that makes sense.

But don't get too excited just yet - time blocking isn't a magic solution to all of your problems. However, it can definitely help you stay organized, prioritize your tasks, and achieve your goals. In this article, we'll explore the ins and outs of time blocking and provide you with some tips and strategies to help you succeed.

Chapter II: How to Create a Time Blocking Schedule (aka Your New Best Friend)

So you're ready to join the time blocking club, huh? Awesome! Before you start blocking out your schedule like a pro, let's go over the steps to creating a time blocking schedule.

Step 1: Identify your goals and priorities

Okay, let's get real. What do you really want to accomplish? Take some time to think about your long-term and short-term goals and decide which ones are the most important to you. This will help you determine which tasks should get top priority in your schedule.

Step 2: Break your goals into smaller tasks

Look, we get it - tackling big goals can feel intimidating. That's why it's important to break them down into smaller, more manageable tasks. This will make it easier to determine how much time each task will take and how to fit it into your schedule.

Step 3: Determine the time required for each task

How long do you think each task will take to complete? Be honest with yourself and allow for some extra time in case things take longer than expected. Trust me, it's better to overestimate than to underestimate.

Step 4: Block out time in your schedule for each task

It's time to put your calendar or scheduling tool to good use! Start blocking out time in your schedule for each task, taking into consideration any other commitments or appointments you have. And don't forget to leave some wiggle room for unexpected events or emergencies. I call this the "life happens" buffer.

Step 5: Review and adjust your schedule regularly

Your schedule isn't set in stone, so be prepared to make adjustments as needed. Regularly review your schedule to ensure that you're staying on track with your goals and making progress. Creating a time blocking schedule may seem like a lot of work at first, but trust me, it's worth it.

Chapter III. Tips for Success with Time Blocking

Congratulations on creating your time blocking schedule! You're well on your way to boosting your productivity and achieving your goals. But wait, there's more. Here are some tips to help you make the most of your time blocking efforts:

Tip 1: Set specific start and end times for each task

It's important to be specific when blocking out time for each task. Instead of just writing "work on project," specify the start and end times for that task, like "work on project from 9am to 11am." This will help you stay on track and avoid overrunning your allotted time.

Tip 2: Use a calendar or scheduling tool to block out time

There are tons of calendar and scheduling tools out there, so find one that works for you and use it to block out your time. This will help you stay organised and keep track of your schedule.

Tip 3: Avoid multitasking and focus on one task at a time

Multitasking may seem like a good idea, but it can actually decrease your productivity. Instead, try to focus on one task at a time and give it your full attention. You'll be surprised at how much more you can accomplish this way.

Tip 4: Allow for breaks and flexibility in your schedule

It's important to take breaks and recharge, so make sure to include some downtime in your schedule. It's also a good idea to leave some flexibility in your schedule in case something unexpected comes up.

Tip 5: Eliminate distractions and minimise interruptions

Distractions and interruptions can derail your productivity and make it difficult to focus on your tasks. Try to eliminate as many distractions as possible and minimise interruptions by setting boundaries and letting others know when you're unavailable.

Chapter IV: Challenges and Solutions for Time Blocking

Congratulations on creating your time blocking schedule and implementing some of my tips for success! But let's be real - life happens, and you may encounter some challenges when it comes to sticking to your schedule. Here are some common challenges and solutions:

Challenge 1: Struggling to stick to your schedule

We get it - sometimes it's tough to stick to your schedule, especially when there are so many other things vying for your attention. One solution is to set reminders for yourself to stay on track. You can also try setting small goals or rewards for completing tasks on schedule to help keep you motivated.

Challenge 2: Unexpected events or emergencies

Life can be unpredictable, and sometimes unexpected events or emergencies come up that throw your schedule off course. In these cases, it's important to be flexible and adjust your schedule as needed. Don't beat yourself up if you need to reschedule tasks or push them back a bit - it's all about finding a balance.

Challenge 3: Difficult or time-consuming tasks

Some tasks are just plain difficult or time-consuming, and it can be tough to stay motivated. In these cases, try breaking the task down into smaller chunks or setting small goals for yourself to help keep you on track. You can also try finding an accountability partner to help keep you motivated and on track.

Challenge 4: Dealing with other people's schedules

If you have a team or work with others, coordinating schedules can be a challenge. One solution is to use a shared calendar or scheduling tool to help keep everyone on the same page. It's also important to communicate and be flexible when it comes to scheduling conflicts.

Time blocking isn't always easy, but by being prepared for challenges and finding solutions that work for you, you'll be well on your way to boosting your productivity and achieving your goals. Keep up the good work!
